OARs governing county retention were updated November 2025. Your Multnomah County Retention Series has been updated accordingly. Please make sure to double check - some series may have new retention periods.
This program provides pre-release planning, case management, and supervised housing services intended to serve justice-involved individuals during the transition from custody into the community.
Each series contains the following information:
- Series Title (Agency Series #)
- Description. (Legal Citations)
- Retention
Electronic Information Systems
The program uses the Bus Tickets and Transitional Housing systems for operations management and client tracking. Tracking information that is not duplicated in other records series should be maintained for 3 years (OAR 166-150-0167(16))
Retention:
- Retain for 3 years.
- Fiscal information that is subject to audit and is not duplicated in other records series should be maintained for 4 years (see ASD10-003).
Indigent Crisis Project Banking Records (ASD10-001)
Documents all bank transactions related to the parole transition project. Records include canceled checks, bank statements, deposit slips, check registers, expenditure reports, and reconciliations. (OAR 166-150-0110(9))
Retention:
- Retain 3 years after annual audit report issued.
Inventory Records (ASD10-002)
Inventory records of property used for the parole transition and indigent crisis projects. Examples include but are not limited to bus passes, personal grooming kits, and work supplies. Information often contains asset number, description, purchase order number, location of asset, date received, purchase price, replacement cost, depreciation, and related data. This record series applies to routine property control inventories. (OAR 166-150-0110(6)(b))
Retention:
- Retain 3 years.
Parole Transition Project Banking Records (ASD10-003)
Documents all bank transactions related to the parole transition project. Records include canceled checks, bank statements, deposit slips, check registers, expenditure reports, and reconciliations. (OAR 166-150-0110(9))
Retention:
Retain 3 years after annual audit report issued.
