Job description

EXAMPLE OF DUTIES:

  • Provide management support services, including contract and data processing and management, property management, analysis and research, personnel administration, finance and purchasing, and office support; assist management in identifying financial, personnel, and material needs; make recommendations on issues including office equipment purchases, space utilization, building maintenance, and other administrative support areas; coordinate projects, including acquisitions, office remodeling, and moving.
  • Coordinate and monitor the budget development; project revenues and expenditures and other budget forms; assist in preparing and processing budget modifications; coordinate accounts receivable and payable functions; serve as a member of the Community Budget Advisory Committee; review and process contracts and grants; implement and maintain contract tracking systems.
  • Organize and monitor payroll and personnel record keeping; review time sheets for compliance to personnel rules and bargaining contracts; coordinate and prepare personnel action forms, including salary increases, new hires, promotions,  terminations and other actions; maintain personnel files.
  • Act as representative on committees, interagency task forces, special projects, and other community outreach activities as assigned; review and develop public information; coordinate projects with other divisions, departments, and outside agencies; research and respond to citizen complaints and questions.
  • Provide analysis and support to management in recommending and implementing policies, guidelines, and procedures; analyze and review federal, state, and local laws, regulations, policies, and procedures in order to ensure compliance; conduct analysis on best practices and trends; assist in developing legislative packages; provide coordination of bill tracking during legislative sessions.
  • Perform other duties as assigned.

  • Receive occasional instruction or assistance as new or unusual situations arise.

  • Work is reviewed based on compliance, appropriateness, and effectiveness in meeting goals and deadlines.
  • Receive general supervision from manager or staff.
  • May exercise functional and technical supervision over staff.

MINIMUM QUALIFICATIONS GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge, skills, and abilities is qualifying. Requirements are determined at the time of recruitment based on responsibilities of the individual position and business needs of the department.

Administrative Analyst

Training and experience for journey level, paraprofessional classifications are typically equivalent to an associate's degree and one (1) to four (4) years of experience that demonstrates the ability to perform the duties of the position. (Equivalency 3-6 years of qualifying training and/or experience).

Depending upon assignment, candidates may be required to pass a criminal background check, have a valid driver license, and /or additional training, licenses, or certificates.
