Positions in this series perform duties in support of departmental or divisional warehouse operations.
Job description

EXAMPLES OF DUTIES:

  • Receive, unpack, inspect, and store equipment and supplies; check quality and number of items received against purchase orders; resolve discrepancies; enter goods received and disbursed on inventory records; take physical counts of inventory; maintain customer and vendor records; collect, enter, and maintain information in a variety of databases and software.
  • Process purchase requisitions, LPO's, and reorder sheets; contact vendors for price and delivery information; stock shelves and work areas; inventory supplies, materials, parts, and tools; report replacement needs; order non-stock supplies, capital, and emergency items.
  • Fill stock requests from departments and other agencies; pull items from stock and arrange for delivery; pick up and deliver materials; prepare records for agency billings; coordinate with staff, end users, and vendors; recommend program policies and procedures.
  • Pack and prepare shipments according to USPS, UPS, and other freight carrier regulations; load, drive, and unload trucks of up to 33,000 pounds GVW in capacity; operate equipment including forklifts, pallet jacks, carts, and hand trucks.
  • Maintain warehouse and perform minor repairs and maintenance; prepare and coordinate recycling opportunities for material waste; order supplies, extend costs, and run totals.
  • In addition to the above duties, the Inventory/Stores Specialist 2 will: coordinate and direct the receipt, storage, release, and destruction of criminal case evidence property; establish and maintain inventory level controls; oversee the warehouse inventory record keeping system; track supply usage and returns to vendor, and surplus obsolete items; coordinate and assist in inventory control, cycle counting, and physical inventory; charge items issued from inventory to proper account, vehicle, or cost accounting codes; initiate payment vouchers; respond to questions on item availability, prices, and procedures; audit storage area for proper maintenance, safety, and storage practices; secure building at the end of the day.
  • In addition to the above duties, the Inventory/Stores Specialist 3 will: provide lead direction of work activities; prioritize and coordinate work assignments; review work for accuracy and content; evaluate projects, activities, and processes; monitor work performed to meet agreed upon goals and objectives; develop, recommend, and implement new or revised policies and procedures to management; interpret, apply, and ensure adherence to rules, regulations, procedures, and policies; provide leadership to staff in event of emergency, bio-hazard exposure, or workplace injury; lead the work of inmates assigned to assist in labor tasks; act as the primary liaison with the county purchasing offices and the State of Oregon; perform system updates and create and maintain databases for inventory control; prepare reports for management; compose correspondence including letters, memos, and incident or hazard reports; maintain secure storage area; check keys, equipment, property, and criminal case evidence in and out.

  • Typically, incumbents may use the entry level to obtain the proficiencies to qualify at the next level in the classification series.

Inventory/Stores Specialist 2

  • Perform the full range of duties, working independently, applying well-developed subject knowledge, and exercising judgment and initiative.
  • Receive occasional instruction or assistance as new or unusual situations arise.
  • Fully aware of the operating procedures and policies within the work unit.
  • Work is reviewed based on compliance, appropriateness, and effectiveness in meeting goals and deadlines.
  • Receive general supervision from manager or staff.
  • May exercise functional and technical supervision over staff.

Inventory/Stores Specialist 3

  • Perform the most difficult assignments requiring a higher level of responsibility, applying advanced subject knowledge, and exercising significant independent judgment and initiative.
  • Receive work assignments in terms of objectives, priorities, and deadlines.
  • Work is reviewed for technical accuracy, compliance to program objectives, and overall results.
  • Receive general supervision from manager.
  • Exercise functional and technical supervision over staff.

MINIMUM QUALIFICATIONS GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge, skills, and abilities is qualifying. Requirements are determined at the time of recruitment based on responsibilities of the individual position and business needs of the department.

Inventory/Stores Specialist 1

Training and experience for entry level, trades classifications are typically equivalent to completion of the twelfth grade and up to one (1) year of experience that demonstrates the ability to perform the duties of the position. (Equivalency 0-1 years of qualifying training and/or experience).

Inventory/Stores Specialist 2

Training and experience for journey level, trades classifications are typically equivalent to completion of the twelfth grade and one (1) to four (4) years of experience that demonstrates the ability to perform the duties of the position. (Equivalency 1-4 years of qualifying training and/or experience).

Inventory/Stores Specialist 3

Training and experience for advanced level, trades classifications are typically equivalent to completion of the twelfth grade and three (3) to six (6) years of experience that demonstrates the ability to perform the duties of the position. (Equivalency 3-6 years of qualifying training and/or experience).

Depending upon assignment, candidates may be required to pass a criminal background check, have a valid driver license, and/or additional training, licenses, or certificates.
