Legal Assistant Series Positions in this series perform technical legal assistant work and support attorneys and legal staff in preparing cases and conducting research to defend the county in complex litigation.  

Job description

EXAMPLE OF DUTIES:

  • Perform discovery and investigative support, including drafting discovery demands, obtaining required documents and related information, and initiating and supervising document controls.
  • Perform trial support, including creating exhibit and witness lists, trial exhibits, and trial notebooks; subpoenaing witnesses, issuing and re-issuing subpoenas on cases, and annotating depositions.
  • Prepare, draft, and proofread orders from notes and worksheets; file original orders with the state courts and distribute copies; maintain trial and docket calendars; schedule and confirm appointments; arrange and schedule interviews, depositions, independent medical examinations, and expert witnesses; process depositions; prepare and distribute reports, memos, and other documents; assist with special projects.
  • Open, file, update, and close case files; gather and review documentation and information for accuracy; organize current claims, documents, correspondences, and other records.
  • Respond to complex inquiries from various sources, including claimants, victims, witnesses, police and probation officers, and other court staff; provide information on policies, procedures, case status, trial dates, and other related matters.
  • In addition to the above duties, the assistant 2 level will: assist in drafting and proofreading legal documents, including briefs, pleadings, motions, exhibits, and legal opinions; investigate related facts; talk and meet with clients to establish issues and set deadlines for resolutions; draft and revise policies, procedures, contracts and agreements, and legislation documents; maintain trial docket.
  • In addition to the above duties, the senior level will: screen, review, and issue assigned legal cases with attorney oversight; act as staff subject matter expert on civil litigation procedures and practices; communicate and coordinate tort claim assignments with the adjuster; create and maintain reports on pending civil claims; request and provide information to judges and/or judicial assistants; prepare monthly unit statistics; prioritize and coordinate work assignments of other staff.

Legal Assistant 1 (NR)

  • Entry

  • Perform the more routine duties as assigned with increasing independence.
  • Decisions made or actions taken require higher level review and work is checked for progress and reviewed for quality and compliance to policy and procedures.
  • Typically, incumbents may use the entry level to obtain the proficiencies to qualify at the next level in the classification series.
  • Receive general supervision from manager or staff.
  • This classification meets the standards for supervisory or confidential exemption as defined by Oregon's Public Employees Collective Bargaining Act (PECBA) or under the terms of Article 3 of the AFSCME Local 88 Collective Bargaining Agreement.


Legal Assistant 2 (NR)

  • Journey
  • Administrative Support
  • Perform the full range of duties, working independently, applying well developed subject knowledge, and exercising judgment and initiative.
  • Receive occasional instruction or assistance as new or unusual situations arise.
  • Fully aware of the operating procedures and policies within the work unit.
  • Work is reviewed based on compliance, appropriateness, and effectiveness in meeting goals and deadlines.
  • Receive general supervision from manager or staff.
  • This classification meets the standards for supervisory or confidential exemption as defined by Oregon's Public Employees Collective Bargaining Act (PECBA) or under the terms of Article 3 of the AFSCME Local 88 Collective Bargaining Agreement.

Legal Assistant Senior (NR)

  • Advanced
  • Administrative Support
  • Perform the most difficult assignments requiring a higher level of responsibility, applying advanced subject knowledge, and exercising significant independent judgment and initiative.
  • Receive work assignments in terms of objectives, priorities, and deadlines.
  • Work is reviewed for technical accuracy, compliance to program objectives, and overall results.
  • Receive general supervision from manager.
  • Provide lead direction of work activities of other staff.
  • This classification meets the standards for supervisory or confidential exemption as defined by Oregon's Public Employees Collective Bargaining Act (PECBA) or under the terms of Article 3 of the AFSCME Local 88 Collective Bargaining Agreement.

MINIMUM QUALIFICATIONS GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge, skills, and abilities is qualifying.  Requirements are determined at the time of recruitment based on responsibilities of the individual position and business needs of the department.
 
Legal Assistant 1 (NR)
Training and experience for entry level, administrative support classifications are typically equivalent to completion of the twelfth grade and up to one (1) year of experience that demonstrates the ability to perform the duties of the position.  (Equivalency 0-1 years of qualifying training and/or experience).
 
Legal Assistant 2 (NR)
Training and experience for journey level, administrative support classifications are typically equivalent to completion of the twelfth grade and one (1) to four (4) years of experience that demonstrates the ability to perform the duties of the position.  (Equivalency 1-4 years of qualifying training and/or experience).
 
Legal Assistant Senior (NR)
Training and experience for advanced level, administrative support classifications are typically equivalent to completion of the twelfth grade and three (3) to six (6) years of experience that demonstrates the ability to perform the duties of the position.  (Equivalency 3-6 years of qualifying training and/or experience).
 
Depending upon assignment, candidates may be required to pass a criminal background check, have a valid driver license, and /or additional training, licenses, or certificates.
