This is a standalone job profile and is not part of a series. Positions in this job profile perform records research, analysis, and data management to create and maintain data for corrections records.

Job description

EXAMPLES OF DUTIES:

  • Collect, enter, retrieve, interpret, process, and maintain data from records such as complex court orders, police custody reports, warrants, and teletypes in a variety of databases and software; prepare and distribute reports, including reviewing and updating coding for crime statistic reporting; enter, modify, validate, and clear out court ordered protection orders through State and Federal systems such as LEDS and NCIC.
  • Research and access files for criminal, statistical, and historical information; research and gather information necessary to accurately process records; confer with agencies to clarify information; contact judges regarding illegible, illegal, or ambiguous court orders; request re-issuance of orders.
  • Communicate with and provide customer services to the public, law enforcement agencies, court staff, inmates, and other parties; review and approve requests for legal release of public records; receive victim notification information and notify victims when the inmate is released; coordinate the movement and travel details of wanted individuals; provide administrative support services to Transit Police and the Cities of Wood Village, Fairview, Troutdale, and Maywood Park.
  • Contact and schedule defendants who have been court ordered to a program such as Work-In-Lieu of Jail, Turn-Self-In, or DNA testing; serve as liaison with the public and others; process requests and take payments for inmate photos and records.
  • Process records for the movement of parole, probation, U.S. Marshal, U.S. Immigration, juvenile, and out-of-county hold prisoners; compile monthly statistics and billings for U.S. Marshal and U.S. Immigration.
  • Coordinate processing inmate records with out-of-county or state holds; process court orders, hire/fire cards, and warrant services from other counties; determine if guidelines are met regarding the continued detention, release, or transport of inmates; prepare detainers, waivers of extradition, and out-of-state travel authorizations; schedule transports upon eligibility.
  • Accept cash and process records for the release of inmates both in Multnomah County and other agencies; issue receipts, prepare paperwork for deposits, and maintain related financial records; calculate credit for time served, work credit, and release dates of inmates sentenced to county time; respond to inmate requests for records information; perform record checks for the release of firearms that have been logged in property and evidence; record community member reported abandoned vehicles in the system; review and enter records to determine owner information on towed vehicles; provide information for property destruction requests.
  • Prepare special reports on events such as erroneous releases, inmates improperly booked, cited, transported, and released, and unusual circumstances; receive subpoenas and appear in court or other hearings to testify regarding corrections records, processing, and other activities; prepare case envelopes for potential prosecution of felony and misdemeanor charges; process returned attempt warrant service cards, warrant letters, and notifications from Social Security and the FBI and update subject records as appropriate.
  • Process inmates into jail; take computerized mug shots and process booking; obtain clarifying data from inmate for identification purposes; perform general and specialized clerical duties; maintain activity records and logs; operate radio and telecommunications equipment and systems; perform emergency call outs to the Rapid Response Team, Search and Rescue, Detectives, and Patrol.
  • Perform other duties as assigned.

  • Work is reviewed based on compliance, appropriateness, and effectiveness in meeting goals and deadlines.
  • Receive general supervision from manager or staff.

MINIMUM QUALIFICATIONS GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge, skills, and abilities is qualifying.  Requirements are determined at the time of recruitment based on responsibilities of the individual position and business needs of the department.

MCSO Records Technician

Training and experience for journey level, administrative support classifications are typically equivalent to completion of the twelfth grade and one (1) to four (4) years of experience that demonstrates the ability to perform the duties of the position.  (Equivalency 1-4 years of qualifying training and/or experience).

Depending upon assignment, candidates may be required to pass a criminal background check, have a valid driver license, and /or additional training, licenses, or certificates.
