This is a standalone job profile and is not part of a series. Positions in this job profile perform records research, analysis, and data management to create and maintain data for law enforcement and community justice records.

Job description

EXAMPLES OF DUTIES:

  • Perform specialized clerical and technical duties involving processing police records and reports; receive and process data in a variety of databases and software; research and review judicial and legal documents for accuracy and compliance.
  • Receive, process, and audit confidential juvenile and adult records including court orders, parole or post-prison orders, teletypes, warrants, police reports, and other records; process and gather data and information from specialized systems.
  • Analyze, interpret, and research orders and documents; contact appropriate parties to gather and confirm data and information; confer with agencies to clarify information; contact judges, judicial assistants, and others regarding illegible, questionable, or ambiguous matters; correct or request re-issuance of orders and other documents.
  • Research and update records and data entered to comply with statutory, judicial, and other requirements; resolve identity issues with Justice Involved Individuals who have the same or similar names.
  • Research and prepare physical and electronic files for reviews, hearings, or other judicial and community justice functions; maintain case deadlines and schedules; process and research judicial orders and dispositions with responsibility for reading the order, evaluating and interpreting information, and seeking clarification; search records systems for clients and case information; prepare reports.
  • Serve as liaison with the public and others on specialty procedures; provide input on work procedures, goals, and outcomes; assist staff in interpretation and application of policies, procedures, laws, and ordinances; review databases for completeness and accuracy of data entry.
  • Maintain physical and electronic files and records; update technical manuals and resource materials; order and maintain office supplies; assist with matters such as personnel, and purchasing; perform office duties including filing and copying documents, reception, and phone coverage for referrals and information; process records and reports; receive fees and perform deposits and reconciliations.
  • Perform other duties as assigned.

  • Perform the full range of duties, working independently, applying well-developed subject knowledge, and exercising judgment and initiative.
  • Receive occasional instruction or assistance as new or unusual situations arise.
  • Fully aware of the operating procedures and policies within the work unit.
  • Work is reviewed based on compliance, appropriateness, and effectiveness in meeting goals and deadlines.
  • Receive general supervision from manager or staff.
  • May exercise technical and functional supervision over staff.

MINIMUM QUALIFICATIONS GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge, skills, and abilities is qualifying.  Requirements are determined at the time of recruitment based on responsibilities of the individual position and business needs of the department.

Records Technician

Training and experience for journey level, administrative support classifications are typically equivalent to completion of the twelfth grade and one (1) to four (4) years of experience that demonstrates the ability to perform the duties of the position.  (Equivalency 1-4 years of qualifying training and/or experience).

Depending upon assignment, candidates may be required to pass a criminal background check, have a valid driver license, and /or additional training, licenses, or certificates.
